Exhibitor Information

Exhibitors ​may ​rent ​​table ​space ​in ​the ​foyer ​of ​the ​hotel’s ​conference ​area ​where ​the ​registration ​table ​is ​located. ​The ​foyer ​is ​adjacent ​to ​the ​central ​location ​of ​coffee ​breaks ​and ​socializing, ​and ​to ​the ​ballroom ​holding ​the ​keynote, ​plenaries ​and ​most ​of ​the ​paper ​sessions.

Organizations/companies ​with ​a ​focus ​on ​the ​fields ​of ​language, ​culture, ​or ​education ​are ​invited ​to ​exhibit ​at ​this ​conference, ​which ​is ​a ​”trade-only” ​exhibit ​and ​educational ​event. Space is limited and on a first-come, first-served basis after conference organizers have assessed the relevance of the exhibit content to the conference topic/attendees. Exhibitor registrants will be notified within one week of registration

Exhibitor Registration Rates (January 25, 26 and 27)

  • Exhibitor Registration (primary) $350 available until 1/17/18
  • Exhibitor Registration (secondary) $175 until 1/17/18; $300 from 1/17/18

Exhibitor registration (primary)  fees include one six-foot table and chair, and registration for one person (including conference materials, and lunch on Friday and Saturday). One or two additional tables can be reserved for $125 each.

Secondary exhibitor registrations are for exhibits requesting more than one exhibit staff member. This registration category does not include any tables, and can only be selected when there is already a primary exhibitor registration from the same organization. No more than one secondary exhibitor registration can be purchased with a primary exhibitor registration.

Exhibit Timing

  • Set-up: January 25, 9:30 am to 11:30 am or January 26, 7 am to 8 am
  • Exhibit hours: January 25 (workshop day), Noon to 5pm; January 26, 8 am to 5 pm; January 27, 8 am to 5 pm

Exhibit Regulations:

Only the exhibitor described in the exhibitor registration can display their materials in the assigned space and they may not assgin all or part of their space to other individuals or organizations without written permission from CERCLL.

All materials must be confined to the table area assigned to the exhibitor, and no signs etc are permitted in the passageways between tables. The exhibitor assumes all responsibility for compying with local fire and safety regualtions.  Installation and maintenance of any display stands/racks/selves, etc, is the responsibility of the exhibitor; all such displays should be able to withstand normal traffic and breezes caused by opening doors. None of the display materials can be afixed to the walls, doors or other furnishings in a way that could damage property; the exibitor is responsible for any damage caused by failure to heed these guidelines. Exhibitors may not display or distribute their materials outside of the designated exhibit area, or in any other part of the Westward Look Resort without permission of the Resort Management.

Neither CERCLL, nor the University of Arizona, nor the Westward Look Resort is responsible for the security of items left in the exhibit area.

Americans with Disabilities ACT (ADA): All exhibitors must be in compliance with the Americans with Disabilities Act (ADA), details of which can be found at www.usdoj.gov/crt/ada/infoline.htm and on the U.S. Department of Justice ADA Information Line, 800-514-0301.

Refund Policy for Exhibitors: A 50% refund will be given for cancellations received by November 30. No refunds will be offered after this date. Please notify us by email (at cercll@email.arizona.edu) if you are canceling your registration.
